Step 1: goals and messages
Before looking for a venue, decide what you want the team to take away: the three goals for the year, recognition for those who did well and the energy to get started. Everything else (speakers, format, activity) is chosen from there.
Step 2: date, venue and capacity
January and February account for most kick-offs. If the event is over 300 people, book the venue 6 to 12 months ahead and, if people are coming from abroad, book hotels outside the big trade fair weeks.
Check the theatre-style capacity, which is what you'll need for the plenaries, and whether there are rooms for the workshops.
